i-Buy Procedures

If an awardee must pay another individual or company for services, the individual/company must be paid through NYU’s Payment System: iBuy. Payees once affiliated with NYU should not register as a supplier with their NYU email address. 

NOTE: Current NYU students, staff, or faculty are not permitted to receive payment through TCR.

The iBuy process is facilitated by TCR staff but handled by University personnel. It is imperative that the following steps are completed in order to ensure payment to the vendor.
 

  1. Ask vendor to complete TCR's iBuy Supplier Registration form. (NOTE: This is NOT the actual supplier registration. This form asks for basic information needed from the supplier in order for TCR to submit a supplier request in iBuy.)

  2. Within 1–2 weeks, the vendor will receive an automated email from NYU iBuy with a link to register in the system.
    • Awardee should follow up with the vendor as a reminder to complete the necessary forms. Failure to complete the forms will result in non-payment.
    • Registration should be complete BEFORE services are rendered.
       
  3. Once registration is complete, TCR will receive an email verifying approval of supplier.

  4. Vendor must send a quote for their services to TCR at tisch.research@nyu.edu.

  5. Vendor completes service.

  6. Vendor must submit an invoice to TCR after services have been provided. The invoice MUST include accurate payee name, accurate address, unique invoice number, date(s) of service, and total amount.

  7. Payment will be processed within 6-8 weeks and will be made directly to the vendor.
     

Incorrect information provided or a lack of response from the supplier can slow down the process significantly. It generally takes a week for a new vendor to be approved in our system. It would serve the vendor to respond diligently to emails and to periodically check their spam folder during the time NYU’s automated email is sent out. Failure to comply with the NYU process will result in non-payment.
