Accounts & Passwords

What is the difference between my NetID/NYUHome password and Google Apps password?

Your NetID/NYUHome password is not the same as your NYU Google Apps password. Tisch strongly recommends you set them the same to eliminate inconvenience and confusion.

  • Your NetID password is used to log into NYUHome via web interface, and to authenticate for NYU Wi-Fi, NYU VPN, and many other NYU services.
  • Your Google Apps password is used to log into email and calendar programs via desktop applications, such as Outlook, Thunderbird, or Apple Mail. Mobile Apps on iOS (iPhone and iPad) and Android devices use Google Apps password, as well.
  • You are required to update your NetID NYU password at least once each year; NYU Google Apps password does not currently have an annual reset policy.  
  • If you receive password expiration email notices from NYU IT, they are in reference to your NetID/NYUHome password; not your Google Apps password. 
  • When you update your NetID/NYUHome password, this does not change your Google Apps password, or vice versa.
  • Tisch strongly recommends you update both passwords at the same time, and make them the same so that you use a single password to access all of the services NYU IT provides no matter what interfaces or programs you use.

 

How do I update my Google Apps password?

If you know your NetID/NYUHome password, but it will expire soon or has expired, or you simply wish to change it,

  • Go to the NYU Start Page at start.nyu.edu.
  • Enter your NetID, and click Start! 
  • Enter your current NetID password, and click Continue.
  • Click the Change your NYU password link, and update your NetID/NYUHome password that meets NetID password requirements.
  • Please note that different from your NetID/NYUHome password, your Google Apps password never expires.

 

How do I update my NetID/NYUHome password?

If you know your NetID/NYUHome password, but it will expire soon or has expired, or you simply wish to change it,

  • Go to the NYU Start Page at start.nyu.edu.
  • Enter your NetID, and click Start! 
  • Enter your NetID and current NetID password. Click Continue.
  • Click the Change your NYU password link, and update your NetID/NYUHome password that meets NetID password requirements.
  • Please note NYU IT requires every employee to update your NetID password once a year.

 

How do I reset a forgotten NetID/NYUHome password?

If you have forgotten your password and have previously registered a non-NYU email address in one of NYU's systems,

  • Go to the NYU Start Page at start.nyu.edu.
  • Enter your NYU NetID, then click the Start! button.
  • On the next screen, click the Forgot Your Password? link on the right side of the screen.
  • Enter your previously registered non-NYU email address when prompted. You will receive an one-time password reset link and self-service instructions in a few minutes.
  • Click the password reset link, and reset your password that meets NetID password requirements.
  • Please note NYU IT requires every employee to update your NetID password once a year.
If you have not previously registered a non-NYU email address,
  • Go to NYU IT service desk with your NYU ID card at 10 Astor Place, 4th floor between 9am-6pm ET.
  • Verify your identity, and have your password and hint reset by service desk.
 

How do I activate/use duo multi-factor authentication? What is single-sign on?

Single-sign on (SSO) is a process by which a user can sign into one portal and immediately gain access to all available services instead of logging into each one separately. As such, when signing into NYUHome, you are able to access a wide range of services such as NYU Email, Calendar, Albert, and more. However, with this convenience, it is important that you must secure your login.

With NYU Duo Multi-Factor Authentication (MFA), a second layer of security is added to help prevent anyone other than you from accessing your sensitive information online. Please follow NYU IT’s registration and device enrollment available here. After enabling MFA, CIT highly recommends to use the Duo mobile app for most convenient authentication.

 

How do I update/reset my computer login password?

We recommend you use the same password for your computer login and for NYUHome and Google Apps.

You can update/reset your computer login password by following our instructional guide.

If you don't remember your password, or it isn't working, please contact us and we will help you reset your password.

 

Email & Calendar

How do I create an email alias for my team or collaborators?

NYU Groups, part of Google Apps for Education at NYU, is used to create and maintain groups of NYU community members. Please submit an online request to NYU IT to create a group email alias. These groups can be used as mailing lists, shared mailboxes, or student organizations. Access to other Google Apps, such as NYU Drive, NYU Box, or NYU Sites can be configured and shared within an NYU Group. Note: only admin members of a created group can add new members.

What should I do when I receive a suspicious email?

Do not click anything in the email, but follow this instruction to report the suspicious message to Google. NYU Email, powered by Google, is smart enough to filter out similar messages for you in the future by self-learning.

NYU community members should NEVER reply to any message that requests your email login, name and password, or any other personal information.

How do I recognize and report spam and phishing?

Spam is unsolicited junk email sent indiscriminately in bulk, often for commercial purposes. Much of it is sent by botnets, networks of virus-infected computers, complicating the process of tracking down the spammers. According to various estimates, about 80% of all email in the world may be spam.

Phishing is the practice of defrauding users into giving up their usernames, passwords, credit card numbers and other personal information. They often try to get you to click on links that take you to fake websites by pretending to be from organizations such as a bank, PayPal, Amazon or even NYU. NYU will never ask you for your NetID/NYUHome password, and you should never give it out, not even to tech support.

Although NYU Email powered by Google features built-in spam filtering, sometimes you still receive suspicious emails. You can try to recognize them by the latest status update from NYU IT. They may pretend to be from NYU or from your financial institution. If the email seems to be from someone you know, check with that person before responding to the message. And if you're still not sure, you can always forward it to us at tisch.it@nyu.edu. If you are sure it is a spam or phishing email, you can label it as a spam/phishing email in Google email, and delete it from your inbox.

What should I do if I clicked on a link in a spam/phishing email?

First, contact AskTischIT@nyu.edu. We will help you identify if it is a spam/phishing email. If we confirm it is a spam/phishing email, then you must immediately change your NetID/NYUHome password, Google Apps password, and all of your other important passwords, such as NYU purchase-card and bank accounts. Finally, keep a lookout for strange activity on your computer, and keep us updated if necessary.

Data Access & Sharing

How do I access my office computer remotely?

First, the remote access must be approved by CIT office. You are required to install Symantec Endpoint Protection on your off-campus computer, and follow the same policy on responsible use of NYU computers and data.

  • Contact AskTishIT@nyu.edu for approval of accessing on-campus computers from off-campus locations.
  • Identify the IP address of your office PC or Mac.
  • Install and start NYU VPN software on your off-campus computer.
  • You can access your PC from a PC or Mac, or access your Mac only from a Mac.

When should I use NYU Box, Google Drive, or Tisch File Server for file sharing?

The differences are that NYU Box and Google Drive are online storage, but Tisch File Server is an internal storage. You have full control over permission for online storage, but a mistake can make your files accessible to everyone in the world. CIT office maintains Tisch File Server that only authorized persons can access your files. Therefore, we recommend, 

You only use NYU Box to save files containing high-risk data, such as Social Security Number, Driver's License Number, Bank Account Number, Credit/Debit Card Number, and NYUHome password, etc. You can use Microsoft Office to edit these files if they are in Word, Excel, or PowerPoint format. You can use Box Sync to save your online files on your computer hard drive, and keep them synchronized. You, however, could synchronize high-risk data to your computer hard drive, which is a violation against NYU IT guidelines and policy. It is difficult to set granular permissions, and handle files with a GB size because Box focuses on security not functionality.

You use Google Drive to save documents, spread sheets, and presentations in simple Google format. It is simple and quick to share a file with your collaborators. Google Drive can also be used to archive your files since it has unlimited capacity although the upload process could be time consuming. You can selectively synchronize your files off line to your computer hard drive so that when you edit them on the hard drive, they are synchronized to your Google Drive automatically so that you can access them from somewhere else.

You can think Tisch File Server as a computer hard drive, and save any document with a variety of formats, such as Microsoft Word document, Excel spreadsheet, PowerPoint presentation, and Photoshop images, etc. We mount Tisch File Share as your H, G, and P drives on your computer. This storage is not convenient to access from off site or your mobile devices. It also has limited storage capacity compared to Google Drive. Tisch file share has comprehensive daily and hourly backup and strong disaster protection under Unitrends solution, and a long term backup/archiving retention period (2 years). When we have an off-boarding employee, we will help you transfer files to the responsible person.

NYU and Tisch do not support other file share solutions, such as Dropbox or OneDrive.

 

Where should I store large (~TB) photos/video files?

Upon your request, you have access to extended Tisch media file share folders if your computer is in Tisch Active Directory.

For PC users, once your request for accessing the share is approved, you will see the drive automatically under your computer.

For Mac users, please follow the procedure below to mannually access the file share.

  • In the Finder, choose Go > “Connect to Server.”
  • Type the server name Tisch IT shared with you in the Server Address field.
  • Click Connect.
  • If necessary, enter your YourNYUNetID as the user name and YourComputerLogin password, and select the server volumes or shared folders.
  • To make it easier to connect to the computer in the future, select “Remember this password in my keychain” to add your user name and password for the computer to your keychain.
  • The share is only accessible from NYU-Net or NYU-VPN.

Employee On/Off-boarding

What is the on-boarding process when I hire a new employee?

In addition to the onboarding tools specified by NYU and Tisch Human Resources, the hiring manager or supervisor should complete Tisch IT’s onboarding form two weeks prior to the new employee's first work day, and follow the process below:

 

  • Submit a communication serivce request to NYU IT for installing a new phone, or updating an existing telephone with new caller ID information, long distance code, and voicemail password. Please allow two weeks for NYU IT to complete your request.
  • On your first work day, activate your NetID at https://start.nyu.edu where you need to set both NetID and Google Apps passwords
  • Log into https://home.nyu.edu to customize your email address. Your default NYU email address is in the format yourNetID@nyu.edu. However, you are encouraged to use the following "business card" format: yourfirstname.yourlastname@nyu.edu. You may create this alias yourself from within your NYUHome preferences.
  • Test NYU Wi-Fi connectivity on your mobile device.
  • Configure your mobile device for NYU email and calendar if applicable.
  • Add the new employee to any NYU Groups email alias through here.

What is the off-boarding process when an employee leaves his/her job in Tisch?

In addition to the offboarding checklists and templates specified by NYU and Tisch Human Resources, the hiring manager or supervisor should notify Tisch IT one week prior to his/her last work day, and follow the process below: 

If the person is not an alumnus or retiree, and is not associated with NYU any more, on his/her last work day, the supervisor must

  • Use Google Takeout to pull all of his/her files from online NYU Google Drive to local hard drive on his/her computer, and transfer them to the person who takes the separated employee’s job responsibility.
  • Use Box Sync to pull all of his/her files from online NYU Box to local hard drive on his/her computer, and transfer them to the person who takes the separated employee’s job responsibility.
  • Transfer the separated employee's Google Calendar ownership to the person who takes the separated employee’s job responsibility.
  • Update the telephone caller ID information, long distance code, and reset voicemail password by submitting a communication service request to NYU IT.
  • Remove the separated employee from all of the email group alias that he/she is a member of, and add the person who takes the separated employee's job responsibility to the email group alias.
  • Ask the separated employee to set up a Message Responder in his/her NYU email account, indicating his/her separated from his/her job in Tisch. An example is, "I am no longer available at [this email or organization]. If you need immediate assistance, please contact [insert name and email].

If the person is an alumnus or retiree, or is still associated with NYU, but in a different department or school, the supervisor still needs to follow the procedure above, but could contact the separated employee any time after his/her last work day for additional help.

If this is an emergency job termination, please coordinate with Tisch HR, and contact urgentIToffboarding@nyu.edu including a PDF of the termination request signed by one of the following: VP of the Department or Division, Dean of the School, or Department HR Officer. The document should include all requests related to the termination such as transfer of files and message responder, etc.

Information Security

What should I do if my laptop or phone was lost or stolen?

Unfortunaltely thare are not many things CIT-Tisch can do to retrive your stolen device. The first thing you should do is to create a police report and get a copy of it. However there are many steps that you can take to help prevent unauthorized use of your device. This include setting automatic lock, using encryption. More recently, mobile device companies are making easier to locate your device. Many apps offer the ability to remotely wipe your data, lock your device to prevent access of your personnal information. This is a list of highly rated applications provided as courtesy only.

A. For all Mac and Android devices:

  • Mac devices have a built-in free feature called: "Find my iPhone" or "Find my Mac". This feature allows you to locate, disable and even fully erase your lost devices. It only works when the device is on and has signal, but at least it will give you a chance to recover it or erase important data on it. Here is how to set it up.
  • There are tools for Android and iOS that provide security features such as locating your device, antivirus, remote locking and data wiping.

B. Encrypting laptop: The purpose of encryption is to make data unreadable in case a device is lost or was stolen.

  • Bitlocker Windows encryption: Bitlocker encrypts your hard drive when enabled. Decryption happens after entering your computer login and password. After logout everything is encrypted and cannot be read without authorized login. Please contact us if you need to enable it.
  • FireVault for Macs: Decryption happens after entering you MA c login and password. After logout everything is encrypted and cannot be read without an authorized login. Enabling FireVault.

C. For all NYU Tisch owned devices you must:  

  • Notify your manager
  • Please contact CIT team and inform them that a NYU Tisch School owned device has been lost or stolen. A brief description on how the device has been lost should also be explained.
  • What personal or private data may have been on the device such as HR personnel data, high sensitive data such as Social security numbers, credit card informations. If applicable, Help-Desk will send a wipe command to reset the device clearing all user data.
  • If the theft occurred on campus please notify NYU Campus Safety at : 212-998-2222
  • If the theft occured off campus, file a police report in the city where the theft occurred and attain a copy of the report.

What should I do if my computer may be infected by a virus?

 

  • Please disconnect the network cable from the computer or turn off Wi-Fi immediately. 
  • Please determine if any high-risk data is present on the system such as Credit Cards, Social Security numbers and IDs. For more information about high-risk data, please read Electronic Data and System Risk Classification on NYU website.
  • If high-risk data is present, please unplug the network cable or disable W-fi. Do not turn off the computer, do not backup any data, and do not run anti-virus scans. Contact CIT immediately.
  • If no high-risk data is present, please unplug network cable or disable Wi-Fi, run virus scans, do not turn off computer, do not backup any data and please contact CIT.      

 

How do I securely dispose computers or hard drives?

If you are planning to dispose computers or hard drives securely,

  • Please read NYU standard policy for destruction and disposal of electronic equipment and data. These are the steps that are taken by CIT to ensure that all data are removed before being sent to asset management.
  • Removal of RAM memory from device.
  • Removal, cleaning and sanitazation of hard drive. This step is very important because we do not want the next user to have access to sensitive information. CIT uses a specific software for this process.
  • You can also cleanup yourself if you want by using NYU disposal guidelines.
  • After these steps are met you can sent a request for disposal by filling the NYU Asset Managment form.

 

How do I prepare a laptop for international travel?

The standard computer security policy and guidelines still apply when traveling overseas to a foreign nation.

  • Ensure the laptop absolutely does not carry high-risk data.
  • Make a backup of your data before you leave the country, and leave that backup in the US. 
  • Be aware of the surroundings, and not to leave a laptop unattended.

 

Telecommunication & Video Conferencing

How do I access my voice mail?

The following information is for accessing NYU voice mail from New York. Please refer to NYU website for instructions about accessing NYU voice mail from NYU global sites.

From your office phone:

  • If your phone has a Messages button, press it. Otherwise, dial 54901.
  • When prompted for your ID, enter your extension, followed by #.
  • When prompted for your PIN, enter your password, followed by #

From another NYU office phone:

  • Dial 54901.
  • When prompted for your ID, enter your extension, followed by #.
  • When prompted for your PIN, enter your password, followed by #.

From off campus:

  • Dial 1-212-995-4901.
  • When prompted for your ID, enter your extension followed by #.
  • When prompted for your PIN, enter your password followed by #.
 

How do I change my voicemail greeting?

To change the recorded Greeting (the message callers hear before leaving a message) on your NYU phone, follow these instructions:

  • Log into your mailbox on your phone
  • Press 4 for Setup Options.
  • Press 1 to change Greetings, and select an option:
    • Press 1 to re-record the Active Greeting.
    • Press 2 to activate the Alternate Greeting.
    • Press 3 to edit other Greetings.
    • Press 4 to hear all of your Greetings.

 

How do I link my NYU telephone number with my cell phone number?

The Cisco Mobility (Single Number Reach) feature allows you to link your NYU telephone number with your cell phone number. You must have the Cisco Mobility feature administered by NYU IT.

If you would like to have Cisco Mobility, contact AskTischIT@nyu.edu and have a request submitted to administer this feature for you. 

How do I plan an audio/video conference?

You can use either instantly use the built-in conference call function in your Cisco IP phone, or schedule a Zoom session for a video conference.

  • Follow the instruction to place a conference call on Cisco phone.

Hardware/Software Buying Guide

Should I purchase a PC or Mac for my job in Tisch?

Some departments or job positions may have specific computer requirements. You should contact your departments or advisors when you make a decision. Here is a list of general recommendations from our perspective.

Go for a Mac if your job involves heavy graphic design or video encoding, have budget, and value a controlled experience over freedom of choice.

  • Pros:
    • Excellent support for graphic design, digital publishing, and video editing software like Adobe CC
    • High performance, stable and secure operating system
    • User-friendly interface with each OSX release
    • Wonderful time-machine backup solution for disaster recovery
    • Seamless configuration for NYU Wi-Fi
    • Lightweight for mobile laptops
  • Cons:
    • Poor compatibility with or lack of components for software, such as Microsoft Office Suite or some NYU financial/budget applications
    • Need to buy additional software, Apple Remote Desktop, to remotely access the Mac in your office from an off-site computer
    • Frequent OSX upgrade every year and lack of system testing for our work envoriment
    • Inconvenient connectivity with network share
    • Impossible to easily repair broken parts, upgrade memory or hard drive capacity
    • Expensive for certain models with large and high quality LCD displays

Go for Windows if you are a heavy Microsoft Office user, and need to remotely access your computer, prefer variety and value the option to customize.

  • Pros:
    • More applications to choose, and perfect support for Microsoft Office suites, particularly Microsoft Excel
    • Built-in remote access functionality so that you can access your office PC from a remote PC or Mac
    • Improved reliability and optimized user interface in Windows 10 over the years
    • Convenient system integration for network shares and automated security update from CIT
    • Completely customizable and easy to repair broken parts, and upgrade memory 
    • Great value for the price
  • Cons:
    • Degrading performance over time, such as slow startup or shutdown process
    • Poor file search function and performance
    • Operating system still hangs sometimes for unknown reason
    • Lack of built-in computer backup and restoration solutions
    • Complicated and confusing process to connect to NYU Wi-Fi
    • Often heavy weight for mobile laptops without sacrificing performance or price
    • Poor integration with mobile phones, such as iPhone

 

What do you recommend for my computer hardware specifications?

Depending what tasks you will run on your computer, the hardware requirement may change. Please consult with your supervisor and department administrators.

Here are our general recommendations for employees. The expected lifetime of a computer is about five years. While a five-year-old computer may still work fine, technological advances make a new computer more attractive. If your computer does not meet the baseline specifications below, you may want to consider either:

  • upgrading (especially if you only need more RAM or faster hard drive (e.g. SSD))
  • buying a new computer

Recommended baseline PC or Mac:

  • 16 GB RAM 
  • 500 GB Solid-State Drive
  • Windows 10 Pro 64-bit or preinstalled MacOS Operating System
  • USB 3.0 port
  • 10/100/1000 Gigabit Ethernet port
  • 802.11 a/g/n Wireless for laptops
  • 20 inch or larger flat panel display for desktops

Recommended high performance PC or Mac:

  • 32 GB or above RAM
  • 500 GB or above solid-state drive (SSD) as the primary hard drive
  • 27-inch or above 4K TFT LED-backlit flat panel display for desktops
Note: the differences between 802.11 a/g/n wireless are,
  • "a" (1999) is 6-54 Mbit/s with a range of 66-330 feet, and is available on NYU campus although it is not very popular.
  • "b" (1999) is 1-11 Mbit/s with a range of 115-460 feet, but is not available on NYU campus.
  • "g" (2003) offers the speed of "a" and the range of "b", and is available on NYU campus.
  • "n" (2009) is a more recent standard, it theoretically offers three times the range and six times the speed of "g". It is available on NYU campus.
  • "ac" (2013) is the latest standard, and supports up to 800 Mbit/second with a range of 115-820 feet, but is not supported by NYU Wi-Fi yet.

What printer should I buy for my work?

Each department has shared Lanier printers with copier, scan, and fax functions. Check with your department administrator or supervisor before you decide to buy a printer. If you are not able to use the shared Lanier printers, you may need to consider the following factors when you buy a printer.

  • NYU Wi-Fi does not support wireless printing
  • The printer must have an Ethernet port to share with others on the network. Printers with only USB ports cannot be shared with other people on the network.
  • Laser printer has a higher print quality than inkjet printer, but are more expensive, especially when you replace toners/cartridges.
  • Color inkjet printer is more affordable than color laser printer.
  • Check out print speed, supported paper sizes, additional scan/copier/fax functionalities, and toner/cartridge cost.

How can I get Adobe Creative Cloud and Adobe Applications on my Home computers?

You can download Adobe Creative Cloud through NYU Home for free. After logging into NYU Home, search for NYU OnTheHub card. Afterwards, select and check out Adobe Creative Cloud and install the application. Then follow our instructional guide to use Adobe Creative Cloud and Adobe applications.
